Senior Administrative Coordinator Role | 12 months contract | Renewable | Singapore

Position Mission (responsibilities & expectations):-

The Administration Department of the company provides administrative support and services to departments and employees. It also works closely to support our Asia Pacific Business Unit (APBU)'s regional offices and affiliates. The Administration Department's functions are divided into two teams. The Administration team manages policies related matters, claims, insurance and staff engagement activities. The Operations team focuses on maintaining the office's day-to-day operations to ensure a conducive, healthy and safe work environment.

This position would be part of the Operations team :

  • To support office operations in the area of Asset management, Drivers and Company Car management, Company Function House supplies and maintenance.
  • To support in data collation, reporting and payment functions


We are looking for a good team player who is also able to work independently under pressure and time constraint. The position holder can look forward to a newly renovated office, experience a new workstyle with a good mix of project work and routine tasks. He/she would gain useful exposure to a wide spectrum of GA matters and opportunities for extended employment on basis of good performance.

People Management (if applicable; incl. outside of MAP):-
Opportunity to liaise and work with wide group of internal (APBU/MAP) and external parties. This includes Management, Subsidiaries, other AP offices, Employees, direct team members (Reception staff, Mailroom staff, Drivers, Cleaners, Contractors etc.

Geographical scope:-
MAP as well as Tokyo HQ, APBU regional offices

Key Responsibilities:

  1. Office Operations and maintenance support
  • Work with vendor to support new asset tagging system for newly renovated office
  • PIC for asset acquisition and disposal and maintain up-to-date asset listings
  • PIC for external storage arrangement
  • Support day-to-day operations and maintenances matter
  1. Drivers and company cars management support
  • Process driver timesheet and concur claims
  • Monitor car usage and manage GPS tracking
  • Manage cost allocation to depts for car usage
  • Manage Cash card and private usage checking
  1. Company House (MH) Function support
  • Manage Company House Maintenance Schedule
  • Manage Company House Wine and Beverage Monthly Stock Check
  • Support Company House functions and services where required
  1. Collation, reporting and payments
  • Health & Safety related collation and reporting to Tokyo HQ
  • Collation of the Company Business Continuity Plan
  • Collation of Asia Pacific Business Unit regional offices' Business Continuity Plan
  • Collation of PR goods order to HQ
  • Collation of Diaries and Calendars order to HQ
  • Office-related payments and re-billings
  • Car and Driver related payments
  1. Support other General Affairs (GA) matters and initiatives


Essential Requirements:

  • Min. 2-3 years of relevant work experience in handling wide spectrum of GA matters including office, assets and drivers management.
  • Min. Diploma holder and above.
  • Meticulous, Resourceful, Team Player, Creative Thinker.
  • Proficiency in Microsoft Office suite
  • Excellent interpersonal & communication skills (written and verbal) with the ability to communicate effectively across all levels, including management.
  • Good Time Management & Organizational skills.
  • Knowledge of SAP system preferred.
